This page was created on April 23rd 2020 and reflects our guidelines and procedures as of that date.

We reopened our Early Years and Primary School on Wednesday, 15 April.

The reopening of the Primary School was guided by the following principles:

  • Protect the health and safety of students and staff
  • Follow the guidelines set out by the Danish Ministries of Health and Education
  • Provide students with some familiarity of school routines for social/emotional/academic learning
  • Provide clear expectations for teachers and students during this emergency learning environment

Guidelines, procedures and more

Arrival and dismissal expectations

The following expectations and procedures are in place to ensure the health safety and hygiene standards are met.

In general:

  • All movement around and within the building is to happen with the expected 2 meters distance
  • Children and staff are not to be in school if they show any symptoms of illness and must be symptom-free for 48 hours before returning
  • Students are on campus only for the duration of the school day
  • Students may not enter the building before their arrival time

Expectations for children

  • Children will be allowed in the building at the assigned staggered start time.
  • Children enter the building without parents at their assigned entrance door.
  • Children must sanitize hands when entering the building.
  • Children must adhere to the 2 meter rule when entering and exiting the building.
  • Children bring only the minimal that is needed and take it all to the classroom. Pods are not in use.
  • Children must wash hands before entering the classroom.
  • In order for these arrangements to work well, it is really important for students and parents to stick to these times as much as possible.
  • Grade 5 students who arrive late must enter using the main entrance. Students need to sign in with reception and then go to their new homeroom class.
  • Pre-K-Grade 4 students who arrive late must enter using the main entrance and sign in at Ineke’s office as usual.
  • If a child who is late needs guidance, the Primary School Office can be called and arrangements will be made to pick the child up at the front door.
  • Children will be taken to the dismissal point (PS Gym, Cafeteria or MS Gym) by teachers. When parents are there to pick up their child, the student will be released by the teachers.

Expectations for parents

  • Parents will arrive at the assigned staggered start time and dismissal time – it is very important to keep to these times to encourage social distancing.
  • Parents drop off their children outside of the building.
  • Parents are encouraged to allow their child to make the last part of the journey into school independently unless delivering a reluctant child.
  • Parents are encouraged to deliver older students at the car drop off.
  • Parents will pick up children at the doors noted above – please note the pick up doors are different from the entrance doors.


  • Staff may enter through various entrances.
  • Staff must sanitize hands when entering the building.
  • Staff need to use the two meter distancing when entering and leaving the building.
  • Staff will take their classes to the dismissal areas (PS Gym, Cafeteria or MS Gym)

Class group guidelines

To prepare for emergency learning, class teachers along with learning support, EAL and single subject teachers assigned to the grade will need to create groups of up to ten children that will become a ‘class’ for the duration of emergency learning.


The goal when creating groups of children is to develop well-functioning classes. When creating class groups, please adhere to the following guidelines as much as possible:

  • No more than 10 children in a group
  • Groups of children will be created by grade level
  • The general rule is to split classrooms into two groups; some exceptions might be:
  • Twins/triplets are placed together
  • Grade 5 children placed with exhibition groups
  • When the numbers indicate that children from two or more classes need to be placed together, i.e. 15 children in one class and 14 children in another class would mean two groups of 10 all from one or the other class, and one group of 9, 5 from one class and 4 from another
  • Intensive learning support students need to be clustered in the same group by grade. These children will be in the class with the learning support teacher
  • Moderate and mild levels of learning support are to be balanced throughout the groups
  • Children who are relationship dependent, need to stay with their homeroom teacher where possible or with a teacher with whom they have a strong relationship, i.e. learning support child might be best served with the learning support teacher or beginner EAL student with the EAL teacher
  • As a priority, students with behavior concerns should be separated
  • ‘Safety over friendship’ is the priority when creating groupings

Parents will be notified by email of the group / teacher placements by primary administration.

Entering and exiting the classroom

Beginning of the day:

  • Children will bring all their belongings with them to the classroom, including their coats and bags. The pods will not be in use
  • Before removing any clothing or items from their bags, children must wash and rinse their hands thoroughly for 40 seconds. (PS Handwashing Lesson)
  • Once their hands are washed, they enter the classroom placing their coats on the back of their chair and their bag(s) on the chair next to them
  • They are then ready to begin the day

During the day:

  • Students must wash their hands before they enter the classroom; this is at the beginning of the day, after recess, after PE, after using the toilet or any other time they enter the room
  • Each child is encouraged to bring a perfume-free hand lotion to be used after sanitizing and washing hands to prevent rash
  • Students must wash their hands when they exit the classroom; this is at the end of the day, before and after going to recess, before going to PE, after going to the toilet or any other time they leave the room
  • Each class will have a sink and toilet assigned by teachers. Children will visit the bathroom before being excused to recess and PE

End of the day:

  • Students put on their coats and place their bags on their back/shoulder
  • Students wash their hands before lining up to be taken downstairs
  • Students sanitize their hands before walking out of the door

Expectations around use of materials

Classrooms and use of materials

  • Teachers will maintain the sanitizing of the classroom and materials.  
  • All toys must be washed twice daily. If they cannot be washed they must be packed away.
  • All school materials stay at school; no home materials are brought to school with the exception of a pencil case which then stays at school
  • Students bring their own pencil cases from home
  • Children cannot bring personal toys to school

Toys and manipulatives

  • 4 boxes available each day
  • 2 for morning sessions and 2 for afternoon sessions
  • All toys and manipulatives to be washed after school
  • Soft toys and pillows/cushions/blankets removed

iPads, laptops and mice

  • Must not be shared while using
  • Need to be wiped before and after use several times daily with wipes
  • Students must wash hands before and after use

Other materials

  • White boards and markers wiped down after use
  • Class pencils/pens wiped down after use
  • Scissors/glue sticks/rulers wiped down after use
  • Other art materials i.e. pastels etc. used, cleaned and then packed away
  • No play dough/plasticine/clay
  • Role play corners washed down twice daily if used

Classroom libraries closed. Instead:

  • Pre-K to Kindergarten: a small selection of books available daily. Once a child has read the book it is packed away and cleaned at the end of the day.
  • Grades 1 to 5: students have their reading book/s which they keep with their other belongings. If it is finished it is then cleaned and packed away.
  • Teachers have a box of books relevant for the day which they use, clean and pack away.

Emergency learning: health and safety guidelines

Sick students

Students who show any signs of illness may not attend school. 

Please do NOT send your child to school if he or she is showing any symptoms of illness which could be passed onto another child or adult.

If any member of the household has symptoms of Covid-19, do NOT send your child to school per the Danish Authorities April 13, 2020.

Students who show signs of illness or have a temperature of 37.8 C (100 F) or higher will be sent home from school. A member of administration, nurse, or teacher will phone a parent to arrange immediate pick up of the sick child.  

Handwashing and hand sanitizing

Students will enter school at their assigned building door, one at a time, two meters apart and will remain two meters apart the entire school day. Each child will have an assigned sink and toilet. Students will wash their hands every two hours.

PS Handwashing Lesson

  • Upon entering school students will use hand sanitizer before going up stairs to classroom
  • Students will wash their hands at their assigned sink on their floor every time before entering the classroom
  • Students will wash their hands every time they leave the classroom

School health nurse office

  • Nurse’s office will only be available for students who will need to be sent home due to illness or injury

Two-meter distance

  • Two-meter markers will be placed before doors
  • Students will be separated by two meters throughout the school day both in the class and when transitioning to/from recess and PE

Cleaning of the building

  • Hand sanitizer will be placed inside each building entry door
  • Banisters, door handles, light switches, elevator buttons etc. will be sanitized on a continuous basis throughout the day by the maintenance staff
  • Toilets and sinks will be sanitized on a continuous basis throughout the day by the maintenance staff

Classrooms and use of materials

Teachers will maintain the sanitizing of the classroom and materials.  

All toys must be washed twice daily. If they cannot be washed they must be packed away. Children’s personal toys must stay at home. iPads, laptops and mice are not to be shared and will be wiped before and after use.

Emergency learning: How to keep your distance as an adult

Working and collaborating together will look and feel different. It is likely to be awkward and certainly will take getting used to. In addition to following the guidelines for moving around the building, please use the following guidelines:

  • Staff are welcome to use the following entrances to enter and exit the building: main door, early years (yellow tower) entrance, middle school (green tower) entrance, and primary (blue tower) school entrance
  • Staff must wipe down their computer, iPad, mouse, etc. several times a day
  • Use Google Meet as much as possible
  • When working in the same room, adhere to the two meter distance guidelines, spread out in meeting rooms and wash hands before entering the room and after leaving the room
  • Use of staff rooms is allowed only if adults wash hands when entering and exiting the staff room and apply social distancing expectations.
  • One person (adults and children) at a time can use the elevator
  • Sanitize hands before entering the elevator
  • When exiting the elevator, hands must be sanitized

Home learning plan

We are very pleased to offer students not on campus opportunities for Home Learning during this emergency learning situation. Students who remain home due to a significant health risk will be able to access similar lessons and activities as their classmates who are on campus.

What does “home learning” look like?

Students at home will receive daily lesson posts on SeeSaw of math, reading, writing and well-being. Students will have access to the remote Arts and Danish lessons just as the students on campus are receiving. Home learning will not look like remote learning when the campus was closed; there are no daily teacher videos or Google Meets. Lessons will be posted as activities in SeeSaw to the Grade Level folder so all students have access.

Will my child’s homeroom teacher be interacting with him or her during home learning?

Homeroom teachers on campus are working with classes. Unfortunately, they are not able to coordinate home learning or work with students who are not on campus. We realize that students at home may be missing their homeroom teachers and classmates and this is understandable.

Who is making home learning?

We have a caring team of three home learning coordinators.”The Home Learning Team” has sent parents a welcome letter introducing themselves. The team coordinates and posts lessons for all students in K- 5 on SeeSaw. They will take lesson plans designed by the grade level teachers and use them to create student assignments which can be posted on SeeSaw.  Pre-K teachers prefer to post themselves for their students.

Will students have single subject lessons?

Visual Arts, Music, Drama and Danish teachers will also post remote lessons on SeeSaw. Students can choose lessons in these subject areas each day in addition to working on the academic lessons.

Hygiene procedures for the classroom

Daily routines / could be done during recess

  • Clean tabletops, door handles and other surfaces that are frequently touched by using one of the two types of spray bottles:
  • IDZ Rapid A desinfektionsmiddel (White spray bottles)
  • Turbo Disinfection (Yellow spray bottles)
  • Let the disinfection solution sit for 30 seconds and wipe the surface dry with paper towels if still wet.
  • Keep a bit distance when spraying if possible, as the alcohol is strong – could make you a bit ‘drunk’…

Before and after lunch:

  • You will get a clean yellow kitchen cloth (together with the lunches from Simply Cooking) every day. It will be brought to your classroom by maintenance staff.
  • Before the students may eat, you wash the tabletop with the yellow cloth damp with plain water.
  • After lunch you stack the plastic containers. These will be picked up again by maintenance.
  • You wash the table top again with the damp cloth to remove food waste, followed by another round of spray disinfectant to remove virus/bacteria.
  • Please place the plastic food containers in a big plastic bag and the yellow cloth in a small bag.

Wipes are only for iPad and Chromebook and should be cleaned by the teacher.

OBS: please do NOT throw away the spray bottles when empty, we can not get more. We have plenty of the liquids in 5 liter bottles. Spray bottles can be refilled in the nurse’s office which at the moment is located in the After School Club room.

Lunch and snack procedures

All children will eat snack and lunch in their designated classroom.

Please follow the below guidelines:

  • All students and staff wash their hands before eating snack or lunch
  • All students and staff wash their hands after eating snack and lunch
  • Students sit in their designated spot in class for lunch. This spot should be at a two meter distance from others in the classroom
  • Snack and lunch is supervised by the homeroom teacher
  • Staff use the provided disinfectant and paper towels to thoroughly clean the tables after students have eaten

We are working with Simply Cooking to develop a system of boxed lunches that can be ordered and paid for in advance, and delivered to classrooms.

Movement of all people in, out and throughout the building

All movement of students around and within the building is to be supervised by an adult and adhere to the expected two meters distance. When students are moving around the building, they need to be taught the following expectations. These expectations must then be reinforced consistently by all teachers.

They include:

  • Everyone washes hands before moving to another section of the school
  • Move on the right when moving up and down the stairs and through the hallways
  • Hold onto the banister when moving up and down the stairs
  • Move up and down the stairs one step at a time
  • Stay five steps apart on the stairs
  • Keep hands and bodies to him/herself
  • Use the assigned toilet and sink
  • One child at a time uses their assigned toilet
  • Children must wash hands after using the toilet
  • Anyone using the elevator must sanitize hands before entering the elevator
  • One person (adults and children) at a time can use the elevator
  • When exiting the elevator, hands must be sanitized

Outdoor play

A revised recess schedule has been created to provide increased outdoor playtime for all students and limit the number of students on the playground at one time. Three staff will be on duty for every recess at both the front and Floor 2 playgrounds. (approximately 1:20 ratio of staff to students)

Student expectations for outdoor play

  • Students are expected to follow the school rules and cooperate when instructed and directed
  • Students are expected to adhere to all new procedures so the school can follow the guidelines for health and safety
  • As per the health and safety guidelines, students must play only with their designated group of five playmates from their group of ten
  • Students who struggle to meet the new expectations will not be permitted on the playground
  • Students must maintain a two meter distance when playing
  • Football or any ball play is not permitted during this time
  • Students will not have access to playground toys and bikes
  • Children will be able to play on the playground equipment

Single subject schedule

Single subject teachers will provide lessons for the following grades levels according to the schedule below. Counseling will share a lesson with homeroom teachers on Mondays. This lesson can be used at whatever point is appropriate any time during the week. The PE teachers are on duty during the morning recess and will provide structured play for children during this time.

Staff illness

Staff who show signs of illness or have a temperature of 37.8 C (100 F) or higher should not come to school or if already at school go home immediately.

You are considered sick when there are symptoms of illness, even with mild symptoms of illness. This means that in case of symptoms of illness you have to stay home from work.

Staff can return to school 48 hours after he/she is no longer showing ANY symptoms of illness. This means that if you have symptoms of illness, you should stay home until you are well.

If a person who has been at school is confirmed (or suspected) to be infected with COVID-19, the school must be informed of it in order to inform the persons with whom he/she has been in close contact.

It is recommended that persons with proven COVID-19 isolate themselves as much as possible in the home away from others family members and avoid all physical contact with persons in the home.

Filling in Veracross

When you show symptoms of an illness that could be communicable in nature, please fill in Veracross for three days, one day for the illness and two for the 48 hour period without symptoms. If you show any signs that are connected to COVID-19, you need to be tested. As a key worker, you are required to be tested.

Please fill in Veracross for each subsequent day you experience symptoms, i.e. Monday you have the symptom so you fill in Veracross for Monday-Wednesday; Tuesday you still have symptoms, fill in Veracross for Thursday, etc. This will allow Aleksandra as much time as possible to organize for subs in this emergency learning situation. If the symptom is something such as a migraine, that is not communicable, please fill in Veracross as needed.

If you are out for three days, please request a note from your doctor. You will need to pay for it and then submit for reimbursement. The doctor’s note needs to be submitted to Audrey.

When a family member is ill

When you suspect someone in your house has COVID-19, stay at home out of caution. Do your best to isolate yourself from the ill person. Contact your doctor and ask to have the ill person tested as you are a key worker and need to return to work. If it is confirmed that it is not COVID-19, you should return to work.  

If the family member who has a confirmed case of COVID-19 can self-isolate and the employee has no symptoms, the employee should return to work. The last action before leaving the house should be washing his/her hands.

Students of concern

Due to the nature of emergency learning, the school’s capacity to manage particular behaviors will be limited. As such, it is important that students follow school rules with a greater degree of independence. Unfortunately, students who can not meet the new expectations will not be permitted to stay on campus. Teachers and staff will monitor the emotional well-being of students in the new learning environment. Parents are also asked to share any concerns with their child’s class teacher.

We will be particularly aware of the following situations and issues:

  1. Reluctant students*
  2. Social / emotional concerns including new concerns because of new class, teacher, environment, friendships
  3. Behavior / disciplinary issues
  4. General academic concerns
  5. Late and absent students
  6. Child protection issues

*students who are not agreeable to coming to school, who have difficulty separating from parents, who refuse to enter the building, who make excuses during the day to be sent home



Reluctant students

Teachers and staff will make reasonable efforts to encourage students to enter and stay in school. Students who are not able to cooperate easily and quickly will be sent home.

Social/emotional issues

Teachers will report students of concern to Sabrina, Jan, Moira or the counselors. The counselors will be working remotely with classes to support students.

Behavior/ disciplinary issues

There is an enhanced expectation for students to follow school rules, classroom agreements and cooperate when instructed and directed. Students are also expected to adhere to the new hygiene and distancing procedures so the school can follow the guidelines for health and safety.  Students who can’t meet the new expectations will not be permitted to stay with the homeroom group. Teachers should contact Moira or Sabrina immediately and the students will be taken to another classroom. Next steps will be determined on a case by case basis.

General academic concerns

SST meetings are generally postponed unless there is an urgent need. This can be considered case by case.

Late and absent students

Regular recording of attendance and tardies will continue. Parents will be contacted if attendance is a concern.

Child Protection issues

The same child protection procedures are in place. Teachers should inform a child protection officer or administrator immediately.  

Teaching and learning


This is an emergency learning situation. Our goal is to provide students with some familiarity of school routines for social/emotional/academic learning in a school environment. Lessons will be designed to provide practice for consolidating skills and will focus on some new learning, where possible. Lessons should be as independent as possible. Teachers will use teaching materials, strategies and teaching styles that are familiar to them. The academic work for students will be as familiar and as independent as possible.

There is no homework assigned during emergency learning. School books, notebooks and materials may not be brought back and forth from home to school.  Students will be encouraged to read independently at home.


The emergency learning schedule is designed to limit the movement and contact of staff and students throughout the building.

The Primary School will no longer follow the 9-day schedule or the revised remote learning schedule. The focus of lessons will be on reading, writing, math and “well-being” (social/emotional learning) with their assigned homeroom teachers. The homeroom teachers organize the daily schedule of lessons within the arrival/dismissal time and around recess and lunch breaks. All lessons will take place in the students’ assigned homeroom classroom space with the designated homeroom teacher serving as the instructor.  

The regular schedule of Arts and Danish classes is suspended, however single subject teachers who are not teaching a homeroom class will provide lessons which can be taught by the homeroom teachers. These lessons will use the ‘remote learning’ format and will be delivered in the homeroom classroom.

The library and ICT lab will be closed for students. A schedule of PE classes will allow for students to have PE outside once a week with a PE teacher. During emergency learning co-teaching, pull out classes for EAL, pull out classes for Learning Support and Early Intervention classes are suspended. EAL and learning support services will be delivered through the homeroom classes.
